Ricoh’s relationship with the company began over 35 years ago and now includes managed document services for their worldwide operations.

Thanks to our over 35-year partnership with the client, we were in the right position to conduct a thorough assessment of more than 400 sites in about 40 countries.

Our Managed Document Services (MDS) team looked at the company’s print environment, set optimization objectives, and established a global print policy.

We recommended RICOH Global Clariti because it provides centralized, comprehensive control of document management processes. That solution was ideal because it allowed the client to:

  • Leverage critical fleet details to improve performance.

  • Reduce turnaround time for month-end reports from six weeks to two.

  • Centralize documents for the company’s entire print program.

We also replaced cumbersome region-by-region spreadsheet tracking with an IMAC-D (Install-Move-Add-Change-Dispose) workflow function. This allowed for closer tracking of device lifecycles— from deployment to disposal — through a web portal that can be accessed virtually anywhere.

Result

With Global Clariti, the company now has the ability to closely manage costs and get more out of their printing investment. Through the solution’s single, seamless interface for data on every networked device in its global fleet, the company:

  • Reduced their global print asset footprint from 6,000 devices to under 4,300.

  • Established print rules, which lead to a 10 percent reduction in company-wide print volume and costs.

  • Lowered turnaround time for month-end reports on the device fleet from six weeks down to two.

And through Global Clariti’s customized customer portal, users can easily access all print program-related documents and information — including monthly utilization reports and training materials — from one place using many different devices. Based on the success of the solution, our MDS team continues to work with the client to find even more ways to enhance their document-lifestyle processes.
