Case study: Rockefeller Philanthropy Advisors

Fostering a culture of great giving with the help of managed IT services.

The vision of nonprofit Rockefeller Philanthropy Advisors (RPA) is to create a culture of great giving. And RPA didn't want IT issues to detract from their day-to-day activities. After separating from parent Rockefeller Family Office in 2001, RPA turned to managed IT services for network support. With a subsequent relocation and the addition of three offices, their IT requirements became a lot more complex. And as usual for nonprofits, they operate with limited budgets and limited technical expertise.

"I wanted a thought partner, not just an IT services provider, and mindSHIFT delivers on that. Our systems are up and running all the time. There's no downtime to speak of, which is pretty phenomenal for any business.”

To support employee collaboration and information sharing, RPA signed on with mindSHIFT, a Ricoh company, to manage, maintain and support its entire IT infrastructure.

mindSHIFT has provided managed IT services to RPA since 2001. With multiple locations to connect and support, we shifted into a higher gear. For RPA, this includes setting up computers and printers, managing the network and services, weighing in on hardware decisions and more:

  • Providing an account manager
  • Overseeing email and mobile phone applications
  • Providing onsite service backed by 24x7x365 customer support
  • Maintaining backup servers and workstations
  • Installing and managing software updates, patches and firewalls
  • Developing a technology roadmap

Jointly, we decided that a hybrid infrastructure was the best approach. Some services now reside in the cloud, and servers reside both on premises at RPA and in our data center. The server migration had to happen quickly, so we worked on the weekend and had all four offices up and running by Sunday afternoon.

About Rockefeller Philanthropy Advisors

Rockefeller Philanthropy Advisors is one of the world's largest nonprofit philanthropic service organizations with 45 employees and four offices in the U.S. Since its founding in 2002, it has facilitated more than $3 billion in grant-making to nearly 70 countries. RPA provides research and counsel on charitable giving, develops philanthropic programs and offers program, administrative and management services to foundations and trusts worldwide.

With the partnership going strong after more than a decade, RPA receives the thought leadership and IT expertise they need at the best price. To be sure the services and price were right eight years ago, RPA issued an RFP. The process confirmed that we were and are the right partner.

With reliable managed services support, RPA doesn’t worry about anything related to IT. In fact, the system upgrade enabled RPA to use Office 365, including video conferencing, so workers can work from anywhere using any device.

RPA knows they are on the best course to carry out their mission, and now we're working together on a five-year strategic plan.
