Scale and law books
Attorneys search for information every day. Unfortunately, they're not the only ones. Cipriani & Werner, P.C. was a prime target for ransomware and other cyber attacks seeking confidential and proprietary information.

In addition, the law firm's in-house servers led to numerous complaints. For example, at times only one application could be open at a time. Certain applications corrupted others. Network interruptions led to prolonged downtime. Plus, the firm was required to remain compliant with legal ethics and regulations.

The firm sought a reliable and secure IT infrastructure from an experienced and knowledgeable outsourcing partner.

"Working with mindSHIFT gives us great comfort. We're confident we have done everything humanly possible to protect our proprietary and client data."

Jack Kincaid
Chief Operating Officer
Cipriani & Werner, P.C.

Solution

In 2012, Cipriani & Werner signed on with an IT outsourcing firm that provided cloud computing services to help stabilize its network. Within 18 months, the firm desperately searched for a new, more responsive partner. After speaking to every IT software and managed services exhibitor at a national conference, the firm chose mindSHIFT for its "total package" of IT support services.

As a leading provider of managed IT, cloud, data center and professional services, mindSHIFT had a wide range of experience. Even more impressive, mindSHIFT had proven expertise and products specifically designed for the legal industry.

The mindSHIFT team implemented its hosted desktop cloud solution and Total IT Management for Cipriani & Werner. The firm's applications were run at mindSHIFT's world-class data center and streamed securely to each law office. Now, email, word processing, spreadsheets, presentations, time and billing and other applications are fully supported. Plus, with remote access to every application, attorneys and administrative staff can capture information at any time from anywhere.

Data is stored in SSAE-16 compliant data centers with world-class safeguards to minimize risk and maximize available data for authorized users.

"It made all the sense in the world to switch to mindSHIFT," said Patricia A. Haeck, Vice President of Administration, Cipriani & Werner. "They could speak to the specific challenges that law firms face because they had already addressed those challenges for other firms."

Result

The days of incessant technology complaints are over. Now, instead of resolving network issues and worrying about data vulnerability, key decision makers can focus on more productive operational and administrative activities. And when a problem arises, they know mindSHIFT is ready to resolve it.

"mindSHIFT is so good, they usually have the answer for me even before I'm done asking the question," said Haeck. "This partnership is very refreshing."

To accommodate the firm's mix of younger, technology-savvy users and older, more technology-averse users, mindSHIFT conducted a standardized, simplified rollout with web-based training at every location. The morning the solution went live, mindSHIFT employees were at each site to resolve issues immediately.

"It required immediate success to make the attorneys believers," said Chief Operating Officer Jack Kincaid. "They had to be able to log on as if nothing happened. The mindSHIFT team made that work."

When the law firm factored in downtime and the time spent by attorneys, administrators and operations staff trying to resolve issues on their own, the outsourced Software-as-a-Service (SaaS) and Managed IT Services made sense.

"If you want to do it right and you want to satisfy your clients, attorneys and cyber insurance carrier, outsourced IT and a cloud computing solution is more than a legitimate cost," said Kincaid.
