The purchasing process at Ferrari North America was a little less than a well-oiled machine. Various operating groups procured products and services without automated technology to issue, route and approve purchase orders. With a formal solution from their Italian headquarters too far off, Ferrari wanted an immediate way to automate their purchase order workflow.

Having previously worked with mindSHIFT, a Ricoh company, for application support and SharePoint® expertise, we were the natural go-to partner to develop a interim solution that leveraged Ferrari's existing SharePoint intranet portal.

Ferrari needed to change their culture for procuring products and services for everything from showrooms and after-sales facilities to racing and car club events. They ran a tight ship in terms of budgeting, but needed a clear course for generating, reviewing, approving and tracking purchase orders. Automation was the answer, and mindSHIFT had the expertise to develop a simple, yet highly effective, application for absolute accountability.


After diving in to fully understand Ferrari's business challenges, mindSHIFT worked with the company's Masterpiece® general ledger line-of-business application to fully understand its functionality. Then, we leveraged our SharePoint expertise to custom-build, test and stabilize an automated purchase order request workflow application

With it, Ferrari could:

  • Pull supplier and account data directly from Masterpiece to automatically generate purchase order requests.
  • Route purchase orders to a requestor's manager, the controller and the chief financial officer (CFO) for review and approval.
  • Save purchase orders to the Masterpiece shared folder.
  • Send email notifications for approved purchase orders to the requestor with a unique P.O. number
  • Automatically add new suppliers by routing a request to the requestor's manager or controller for approval.
  • Send approved new suppliers to accounts payable to create a new Masterpiece vendor ID and import that data daily into the portal.
  • Automatically notify requestors via email if a new supplier request was rejected — or assigned a vendor ID number if approved.

Ferrari North America in Englewood Cliffs, New Jersey oversees importation, distribution and sales of new and pre-owned Ferrari automobiles in the United States, Canada and Mexico. They host high-profile motorsports events such as the American Le Mans and Ferrari Challenge series. In addition, the Ferrari Club of America is the largest Ferrari club today with 6,000 members.



With their interim purchase order request workflow application in place, Ferrari has shifted their culture toward greater accountability and streamlined procurement. For events, it has made procurement much more transparent for staff, who can now create separate purchase orders by event — and specific requests for hotels, events, tracks, etc. For broader oversight, the CFO can use the dashboard feature to see all the orders submitted, what's lingering and what needs to be approved. And he can simply send screen shots from the dashboard via email to convey information quickly and concisely to leadership in Italy. For future endeavors, Ferrari now knows who to call to implement more applications quickly that they know will be done right.
