For Major League Baseball’s Miami Marlins, moving to their own stadium was a dream come true. What the organization wasn’t looking forward to were all the new responsibilities that come with being in a baseball-only venue.

In fact, the director of information technology anticipated a tripling of the document workload, which would make it even more difficult to capture, manage and deliver the organization’s information.

To address it, the Marlins needed to update an accounts payable system that was too hands-on and cumbersome, become more efficient with faxing, and do it before opening day – less than three months away.

After the Marlins sent out a request for proposal, Ricoh stood out as the right partner based on our clear path for delivering cutting-edge solutions at an attractive price.

With opening day looming, there was no time to waste. We immediately improved numerous facets of the team’s information technology, including:

Accounts Payable

To speed up the process, we designed and implemented a system where staff sent invoices to a dedicated email address. That message then went directly to the appropriate office.

Faxing

We implemented OpenText RightFax, so that instead of needing to be at or near a fax machine, all 250 of the organization’s users could send and receive faxes from their personal computers, VDI or any of the 15 Ricoh-installed multifunction products (MFPs).

Printing

Confidential document security was a major concern. Instead of having a group-printing setup, we added 35 individual printers to the company’s fleet. Doing so allowed confidential documents to be seen and picked up only by the person printing.

Plus, we managed the devices so the team could focus on the game at hand. To monitor print output and to keep costs in check, we leveraged tools such as ROI Print Manager and TRAC solutions

Before every home game, Ricoh technicians were on site to make sure each 70- to 80-page media packet printed flawlessly and on time.

Results

Before the first pitch was thrown, the front office had already hit a homerun. 

 All solutions and training occurred on time. The accounts payable created improved information flow across the entire enterprise, reducing processing times from up to 14 days to no more than 2. And with Ricoh managing their printer fleet, the Marlins have been able to budget more effectively and optimize their print practices. Based on these early successes, we’re working with them to automate other manual processes. That will further help the Marlins shift focus to where it matters most — winning games.
