Case Study: Beaumont Health System

Michigan-based Beaumont Health System is a three-hospital, regional health system known for their efforts to improve healthcare through quality and safety initiatives, as well as their research and technological innovations. 

However, in order to maintain that position in an evolving healthcare industry, Beaumont determined that they needed to:

  • Create a well-defined document management and output strategy.
  • Break down departmental silos.
  • Become more efficient in addressing healthcare-related workflow issues.

To reach those goals, Beaumont needed a partner with experience managing supply chains, streamlining paper workflows and making sense of fragmented processes. That's when they turned to us.

While reviewing Beaumont’s organizational structure, we discovered that their silos made it harder to understand their expenses and asset management.

For example, at one time five different areas within the system managed six suppliers. That led to duplication and inefficiency across Beaumont’s estimated 4,000 printers and 1,000 multifunction printers (MFPs).

To help get Beaumont on a better track, we created a five-year plan built around the following phases:

The miscommunication between departments created bottlenecks. We introduced new workflows that minimized inefficiency and waste, integrated new MFPs, and set clear standards for ordering, vendor communications and support.

Since Beaumont had so many devices already in place, we looked at ways to use them in more cost-effective ways. This included launching new document imaging, documents and forms management, and workflow and queue technologies.

This last phase implemented improvements to help Beaumont meet enterprise-wide business goals. We implemented new content management strategies and used technology to capture unstructured data and export it to the electronic health record (EHR) — helping to improve workflows.

The plan, coupled with strong communication and service at all levels, put Beaumont on track for future success. This can be seen in our strategy’s initial results, in which Beaumont:

  • Is on track to meet the first-year goal of $1 million in savings.
  • Reduced the number of printers and fax machines by 35 percent.
  • Exceeded the projected 25 percent savings by as much as 10 percent in some areas. 

We also added additional value by creating efficiencies beyond the financial savings. In one example, we used the IT help desk as a single point of contact for users across the entire system, regardless of the type of device issue they have.
